2. Information We Collect

We collect information you voluntarily provide when submitting forms on this website, which may include:

• Property information: Property address, property type, condition, estimated value, square footage, number of units, year built.

• Situation details: Reason for selling, payment status, foreclosure status, occupancy status, timeline, and goals.
• Lending program details: Loan types, loan parameters, rates, fees, borrower requirements, and program terms (from lenders).
• Rental application data: Driver's license number and issuing state, last 4 digits of Social Security number, employment history, gross monthly income, current and previous addresses, landlord and employer contact information, pet information, vehicle information, criminal history, eviction history, bankruptcy history, and personal references.
• Investor information: Investment amount, net worth, accredited investor status, and financial qualifications.
• Lender information: Company name, licensing details, loan programs, rates, fees, and borrower requirements.
• Background check results: Consumer credit reports, criminal record checks, eviction history reports, sex offender registry searches, and rental verification reports obtained through third-party consumer reporting agencies.
• Communications: Any notes, messages, or additional information you include in form fields.

We may also automatically collect limited technical data when you visit our website, including IP address, browser type, device type, referring URL, and pages visited, for security and analytics purposes.

3. Ethical Properties Tenant Portal App

Ethical Properties LLC develops and operates the Ethical Properties Tenant Portal App. The tenant portal is delivered through our secure tenant web pages and may be installed on an Android device as a web app or progressive web app. This section applies to the tenant portal experience, including an Android-installed version of that experience.

Tenant login credentials are processed through Firebase Authentication. We do not store tenant passwords in plain text in the tenant profile.

Depending on the features enabled for your account and the actions you take, the tenant portal may collect, process, or display:

• Tenant and account information: Name, email address, login credentials, account status, property address, unit, lease start and end dates, rent amount, due date, past-due date, and other tenancy details provided by Ethical Properties or by you.
• Maintenance information: Request subject, description, urgency or priority selection, submission time, request status, completion updates, and notes added by property management.
• Rent and payment information: Payment history, payment status, payment month, rent amount, payment source, payment method, ACH processing fee, total charged, card brand and last four digits when available, ACH bank account type and last four digits when available, cash or offline payment reports, autopay or subscription status, and Stripe transaction, payment-intent, invoice, checkout-session, or subscription identifiers.
• Notification information: If tenant push notifications are enabled, the app may use the device's Firebase Cloud Messaging notification token to deliver requested notifications about rent due dates, past-due rent, completed maintenance requests, and other important tenancy updates.
• Device authentication information: Where passkey or device-biometric sign-in is enabled, the app receives confirmation that the device authentication succeeded. The app does not receive or store your fingerprint, face scan, or other raw biometric data. Biometric verification is performed by the Android or browser operating system.
• Technical information: Device, browser, operating-system, network, diagnostic, security, and reliability information necessary to operate, secure, troubleshoot, prevent fraud or abuse, and improve the app.

The tenant portal may process information through service providers that help us operate it, including Firebase Authentication, Firebase Firestore, Firebase Cloud Messaging, and Stripe. Firebase services support account authentication, database storage, app operation, and notifications. Stripe supports payment processing, ACH payments, autopay, payment history, and customer payment management.

4. How We Use Your Information

We use the information you provide solely for legitimate business purposes, including:

• Evaluating and underwriting potential real estate acquisition opportunities.
• Contacting you to discuss the property, deal terms, or your inquiry.
• Conducting due diligence on properties and transactions.
• Evaluating and building lending relationships.
• Evaluating foreclosure assistance inquiries and determining whether we can assist.
• Evaluating seller financing and subject-to transaction opportunities.
• Evaluating and qualifying potential investor partners and private lending arrangements.
• Maintaining records of inquiries and transactions for legal and compliance purposes.
• Improving our website and forms.
• Complying with applicable laws, regulations, or legal obligations.
• Rental application processing: Conducting background checks, credit reports, criminal record searches, eviction history, and rental verification for applicants seeking to lease a property from us.
• Reference verification: Contacting current and previous landlords, employers, bank representatives, and personal references provided by you on your rental application to verify your rental history, employment, income, and character.

For the tenant portal, we also use information to:

• Authenticate tenants and protect tenant accounts.
• Display property, lease, rent, payment, and maintenance information.
• Process or initiate rent payments through Stripe.
• Record cash or offline payment reports for management review.
• Send requested push notifications and communicate maintenance updates or management notes.
• Detect, investigate, and prevent fraud, abuse, and unauthorized access.
• Maintain, secure, troubleshoot, and improve the website and mobile app.
• Meet legal, accounting, property-management, and recordkeeping obligations.

We do not sell your personal information to third parties for marketing purposes. We do not use your information for automated decision-making or profiling unrelated to real estate evaluation.

5. How We Store Your Information

Form submissions are transmitted securely to our internal systems. We take reasonable technical and organizational measures to protect your information from unauthorized access, disclosure, alteration, or destruction. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security. To the fullest extent permitted by applicable law, Ethical Properties LLC, its members, managers, employees, agents, and affiliates shall not be liable for any damages, losses, claims, or expenses arising from or related to a data breach, unauthorized access, or unauthorized disclosure of your personal information, regardless of the cause.

Tenant portal information is stored in systems used to operate the service, including Firebase and Stripe where applicable. Access is limited through account authentication, administrative controls, and service-provider security measures.

6. Data Retention

We retain tenant and payment records for as long as reasonably necessary for tenancy administration, accounting, legal compliance, dispute resolution, fraud prevention, customer support, and business records, subject to applicable law. Maintenance records, payment history, transaction identifiers, and related account records may therefore remain after a tenancy or app account ends when they are needed for those purposes.

Submitted website information may be retained for as long as necessary to fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. Some deal evaluation records may be retained longer when reasonably necessary for business or legal purposes.

7. Sharing of Information

We do not sell, rent, or trade your personal information. We may share your information only in limited circumstances:

• Service providers: Third-party vendors who assist with data storage, communications, or business operations, under confidentiality obligations.
• Consumer reporting agencies: For rental application processing, we may share your information with third-party consumer reporting agencies to obtain consumer credit reports, criminal background checks, eviction history reports, and rental verifications, as authorized by you in your rental application.
• References and verifiers: Current and previous landlords, employers, bank representatives, and personal references provided by you on your rental application, for the purpose of verifying your rental history, employment, income, and character.
• Transactional professionals: Title companies, attorneys, inspectors, appraisers, or other professionals directly involved in evaluating or closing a transaction you submitted.
• Legal compliance: When required by law, court order, subpoena, or government authority.
• Business transfers: In connection with a merger, acquisition, or sale of all or part of our business assets, your information may be transferred as part of that transaction.
• Protection of rights: To protect the rights, property, or safety of Ethical Properties LLC, our members, or others.

8. Communications Consent

By submitting a form on this website, you consent to receive communications from Ethical Properties LLC by phone, email, or text message (SMS) regarding your inquiry. Tenants can enable or disable app notifications through the app's available settings and/or the Android device settings. Disabling notifications does not delete your tenant account, payment history, maintenance requests, lease information, or other tenancy records.

10. Cookies & Tracking

This website may use basic browser cookies or local storage to improve your experience (e.g., remembering form state). We do not use third-party advertising cookies or cross-site tracking. You may disable cookies in your browser settings, though some website features may not function properly as a result.

11. Children's Privacy

This website is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has submitted information through our website, please contact us and we will promptly delete it.

12. Account Deletion and Privacy Requests

To request deletion of your tenant account, or to request access to, correction of, or deletion of personal information, contact our privacy contact at ethicalpropertiesllc@outlook.com. Please include the email address associated with your tenant account and describe the request. We may need to verify your identity before completing a request.

After an account deletion request, we may retain information that is reasonably necessary for legal, accounting, payment, security, fraud-prevention, dispute-resolution, property-management, or recordkeeping reasons. We may also retain limited information needed to honor deletion choices, prevent abuse, or comply with a legal obligation.

13. Your Rights

Depending on your state of residence, you may have certain rights regarding your personal information, including the right to:
